The Numbers Don’t Lie: Tenants Don’t Decide the Way You Think They Do

When we talk about leasing an office space, we often imagine a traditional process: a tour of the building and the office itself, a 2D floor plan sent over email, and a decision driven by a small group of stakeholders.
It is known that the familiar setup of the tenant’s decision-making committee typically includes four to five people: a C-level executive, a procurement manager, a real estate manager, HR, and sometimes the CFO.
But the reality has shifted.
Let me tell you a story that perfectly illustrates this change, about one of our clients, a head of leasing at a major regional developer.
As usual, their tenant visited, toured the space, and, as expected, requested a space plan. Instead of the usual black-and-white 2D layout, our client sent an Intelligent 3D Space Plan, prepared by Bright Spaces.
That’s when things changed.
Within just two weeks, the analytics that we provided to our client showed something remarkable:
The committee of what we knew to be five people had expanded into 86 unique viewers across seven countries.
Collectively, they virtually toured 8,500 linear metres of office space.
When our client saw the data, they almost couldn’t believe it. But the insight was undeniable: 3D interactive space plans don’t just visualize space. They redefine the way decisions are made.
What This Means for the Industry
Decision-Making is Now Distributed
Choices aren’t limited to a boardroom. They happen across borders, across teams, and across company roles.Data Becomes a Conversation Starter
It’s no longer about sending a static file. With analytics, owners and brokers can actually see how tenants engage with a space, what areas capture attention, and how the decisions are made.Experience Drives Trust
Walking thousands of virtual metres gives stakeholders a sense of ownership before they even sign a lease. It’s not just a plan. It’s a lived experience.
Why This Matters Now
In a market where leasing speed, collaboration, and tenant experience make all the difference, relying on outdated processes is no longer an option.
Intelligent 3D Space Planning is not just a product. It’s a bridge that connects landlords and brokers to tenants in a way that’s transparent, measurable, and engaging. And in doing so, it transforms the leasing process from a black-and-white transaction into a partnership based on trust.
We’re entering an era where the office decision is not made by five people in a room, but by dozens across continents. The question for landlords and brokers is no longer if they should adapt, but how fast.
